1. What We Collect

We collect the following information when you use SampleShield:

  • Account information: name and email address (via Google sign-in).
  • License documentation: license certificate files you upload, and metadata extracted from them (sample title, license tier, download date, license holder name).
  • Claim documentation: screenshots of copyright claims and dispute details you enter.
  • Usage data: number of disputes filed, plan usage, and general product analytics needed to operate and improve the service.
  • Payment information: handled entirely by Stripe. We do not receive, process, or store your card details.

2. How We Use It

We use the information above to:

  • Extract license metadata from uploaded documents.
  • Generate dispute response text and evidence pages.
  • Maintain your dispute and license history.
  • Enforce plan limits (e.g., monthly dispute caps).
  • Provide AI dispute scoring (see Section 4).
  • Provide you with analytics on your own claims and dispute outcomes.

We do not sell your data.

3. Public Evidence Pages

When you enable a public evidence page for a dispute, SampleShield generates a shareable page at a unique, randomly generated link. This page is designed to let a platform reviewer or claimant verify your license without needing to log in, and it displays:

  • Your license certificate details, including the license holder name shown on the certificate.
  • Sample title, download date, and platform.

Important details about how this page works:

  • The link is unguessable but not private. The page is not protected by a login — anyone with the exact link can view it, which may include the claimant you're disputing with, platform reviewers, or anyone that link is forwarded to. Do not share the link publicly (e.g., on social media) unless you intend for its contents to be visible to anyone who finds it.
  • The page is not indexed by search engines. We apply noindex directives and block crawler access, so the page should not appear in Google or other search results. This is a technical best-effort measure, not an absolute guarantee, since some crawlers may not honor these directives.
  • The page and its associated file expire automatically 90 days after creation. You may manually extend an active evidence page up to two times before it expires. Once expired, the page and downloadable certificate are no longer accessible, and the page is automatically set back to private.
  • You can disable the evidence page at any time from the dispute detail view, which immediately restricts access regardless of the expiration timer.

Because the license holder's full name is displayed on this page by design — it's necessary for a reviewer to verify the certificate belongs to you — please be aware of this before enabling a public evidence page, particularly if you have privacy concerns about your name being associated with a specific dispute.

4. AI Dispute Scoring

If you use AI dispute scoring, the metadata you provide (license source, tier, claim type, claimant history, and similar fields) is sent to our third-party AI model provider to generate a success-probability estimate. We do not send your full PDF or raw certificate text for scoring unless you explicitly attach it for that purpose. Our AI scoring is powered by a platform-managed large language model; we will update this section if our provider arrangement changes.

5. Data Retention

  • Your disputes and licenses remain in your account until you delete them.
  • Deleting a dispute removes its record from your account; underlying uploaded files may be retained for a limited time afterward in accordance with our infrastructure provider's storage policies, after which they are permanently deleted.
  • Public evidence pages and their associated files are automatically deleted or restricted no later than 90 days after creation (or after any granted extensions), regardless of whether you manually delete the dispute.
  • If you delete your account entirely, we delete your account information and associated data within 30 days, except where retention is required by law or for legitimate business purposes such as fraud prevention or dispute records related to active billing.

6. Sharing

We do not proactively share your dispute records with claimants or third parties. However:

  • If you enable a public evidence page, that page is accessible to anyone who has the link, by design — this may include the claimant, a platform reviewer, or anyone else the link is shared with. See Section 3 for details.
  • We share data with infrastructure and service providers (such as our hosting platform, payment processor, and AI model provider) only as needed to operate the service.
  • We may disclose information when required by law, subpoena, or valid legal process.

We do not sell your data to advertisers or data brokers.

7. Your Rights

You can view, edit, and delete your disputes, licenses, and account data at any time within the app.

You also have the right to:

  • Access a copy of the personal data we hold about you.
  • Correct inaccurate data.
  • Delete your account and associated data (subject to Section 5).
  • Export your data in a portable format. To exercise any of these rights, contact us directly at support@sampleshield.app — we handle these requests ourselves and coordinate with our infrastructure providers as needed on your behalf. You do not need to contact any third-party provider directly.

8. Cookies and Analytics

We use essential cookies required for authentication and basic site functionality. We may also use first-party analytics to understand product usage and improve SampleShield. We do not use third-party advertising cookies or trackers.

9. Security

We use platform-managed authentication and encrypted storage for your data. No method of transmission or storage is fully secure, but we work to protect your data using industry-standard practices, including restricting access to your dispute and license records to your own account.

10. Children's Privacy

SampleShield is not directed at children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect data from them.

11. Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above, and for significant changes, we will make reasonable efforts to notify active users.
